Understanding Trade Show Roles

Who’s in charge at your next trade show? It can be confusing to identify the key players involved. Here’s a quick guide to the main roles you’ll encounter:

  • Show Producer: Manages the trade show, leases the venue, hires contractors, and promotes the event. Examples: Reed Exhibitions, VNU Expositions, Inc.
  • Show Management: Organizes and operates the trade show. In large events, the producer and management might be the same. Examples: MD&M, Medtrade, National Sheriff’s Association, Semicon.
  • Official Contractor: Hired by show management to set up the event. They handle tasks like drayage, signs, carpet, rental displays, decoration, labor, and cleaning. Examples: GES, Freeman, Champion.
  • Exclusive Contractor: Appointed by the trade show or venue management to provide specific services such as telecommunications, plumbing, and electrical work. These services vary by venue.
  • Exhibitor-Appointed Contractor (EAC): Any company other than the official contractor that provides services to an exhibitor, like setting up and dismantling exhibits. Examples: Absolute Exhibits, I&D companies.
